Electronic vs Manual VAT Filing in Zambia - Deadlines and Differences

Zamcalc Editorial May 1, 2026 3 min read
Tax ZRA VAT Business

Zambia allows VAT-registered businesses to file their returns either electronically through the ZRA TaxOnline portal or manually using paper forms. The key difference is the deadline - electronic filers get 13 extra days. This post explains both methods and why electronic filing is the better choice for most businesses.

Why the deadline difference matters

Electronic filers have until the 18th of the following month, while manual filers must submit by the 5th. That is 13 extra days to prepare your return, reconcile invoices, and arrange payment.

For a business filing its March VAT return:

  • Manual: Due by 5 April

  • Electronic: Due by 18 April

Those 13 days can be the difference between a rushed, error-prone return and an accurate one - especially during busy months.

How electronic filing works

  1. Log into the ZRA TaxOnline portal with your TIN credentials

  2. Select the VAT return for the relevant tax period

  3. Enter your output VAT (from sales) and input VAT (from purchases)

  4. The system calculates the net amount payable or refundable

  5. Submit the return and make payment through the portal or bank

  6. Download the acknowledgement receipt

Registration for TaxOnline is free. You need your TIN and a valid email address to set up an account.

How manual filing works

  1. Collect a VAT return form from your nearest ZRA office

  2. Complete the form with your output and input VAT figures

  3. Submit the form at the ZRA counter with your payment

  4. Collect your receipt as proof of filing

Manual filing requires a physical visit to ZRA, which takes time and is subject to office hours and queue lengths.

  • More time: 13 extra days to prepare and file

  • Convenience: File from anywhere with internet access, anytime

  • Accuracy: The system validates entries and calculates totals automatically

  • Record keeping: All returns are stored digitally on TaxOnline for easy reference

  • Faster processing: Refund claims are processed faster for electronic filers

Late filing penalties

Missing either deadline (5th for manual, 18th for electronic) results in:

  • A penalty for late filing

  • Interest on any unpaid VAT from the due date

The penalties are the same regardless of filing method - the only difference is the deadline itself. Since electronic filing gives you more time, it naturally reduces the risk of late filing.
