Why the deadline difference matters
Electronic filers have until the 18th of the following month, while manual filers must submit by the 5th. That is 13 extra days to prepare your return, reconcile invoices, and arrange payment.
For a business filing its March VAT return:
Manual: Due by 5 April
Electronic: Due by 18 April
Those 13 days can be the difference between a rushed, error-prone return and an accurate one - especially during busy months.
How electronic filing works
Log into the ZRA TaxOnline portal with your TIN credentials
Select the VAT return for the relevant tax period
Enter your output VAT (from sales) and input VAT (from purchases)
The system calculates the net amount payable or refundable
Submit the return and make payment through the portal or bank
Download the acknowledgement receipt

How manual filing works
Collect a VAT return form from your nearest ZRA office
Complete the form with your output and input VAT figures
Submit the form at the ZRA counter with your payment
Collect your receipt as proof of filing
Manual filing requires a physical visit to ZRA, which takes time and is subject to office hours and queue lengths.

Missing either deadline (5th for manual, 18th for electronic) results in:

The penalties are the same regardless of filing method - the only difference is the deadline itself. Since electronic filing gives you more time, it naturally reduces the risk of late filing.
